Year Founded: 2005
Headquarters: Redwood, CA, USA

Box overview

Box is a cloud file sharing and document management platform. Founded in 2005 in San Francisco, California, the company was originally consumer-oriented, but gradually turned into a professional solution for corporations, government agencies, NGOs, and the SMB sector.

This pivot into the data room sphere saw Box expand into new countries and continents, acquiring a slew of other tech products in the process. Notably, in 2021 Box acquired SignRequest, an e-signature solution, in a $55 million bid.

Box went public as Box Inc in 2015. With offices in New York, San Francisco, Chicago, and Austin — as well as in Germany, the UK, Japan, and other countries, — Box stakes a firm hold in the data room market. As a data room provider, Box also continues to cater to individual needs as well. While it does not offer a free trial for its business subscriptions, it does have a free subscription plan for individual needs.

box-provided software solutions

Box has consistently worked to increase the scope of technologies offered. On top of its virtual data room, countless integrations with products like Microsoft Office and Google Workspace, and an API to integrate the Box VDR with virtually any product, the platform also offers its own virtual data room software solutions, such as:

  • Box KeySafe. This encryption manager helps you safely store your encryption keys and keep track of their usage, allowing early detection of leaks or suspicious user activity.
  • Box Canvas. Still in beta mode, this is a whiteboard business tool for better presentations, training, brainstorming sessions, or creating a business plan.
  • Box Sign. This convenient solution allows you to request and send out document signatures using Box Sign, Box’s native e-signature solution.

what is box best for?

Box is a very flexible solution, with plans for anyone from individual users and small teams to companies of all sizes. The platform caters to clients in a variety of industries, such as healthcare, life sciences, transportation, marketing, legal, and banking. It’s also used by nonprofits, government organs, and education institutions to improve workflow and efficiency.

Typical Box use cases include:

  • Due diligence and M&A. From discovery to signing the deal to post-deal integration, Box helps streamline the deal management process in all its phases, conducting safe and efficient transactions.
  • Board governance. Box offers all the necessary tools for your board of directors — schedule meetings, create minutes, integrate your data room with video calls, and much more.
  • IPOs, bankruptcy, and restructuring. These and other processes involving large quantities of confidential files can be managed through the Box platform while keeping control over documents and users’ actions.

Box is also a tool of choice for all kinds of departments, whether corporate, nonprofit, or governmental, such as HR, finances, and legal.

box security compliance certificates

Box packs a potent array of security measures and data protection features, including early threat detection, data leak prevention, and bank-grade document security. Box is compliant with virtually all the major regulatory frameworks, and is certified by all kinds of seals, such as:

  • SOC 1 and 2

  • GxP Validation

  • ISMAP

Box also ensures full compliance with the General Data Protection Regulation (GDPR) and other similar legislative frameworks.

advantages of box

Box brings plenty of advantages to the virtual dealmaking table, but some are worth a special emphasis.

Above all, user reviews praise Box as a centralized virtual data room with five essential features: security, ease of storage and sharing, interface, customer support, and value for money.

  • Security. All the necessary features, such as granular document control, IP-based access block, dynamic watermarking, suspicious activity alerts, 256-bit encryption, and 2FA come together to create an environment where sharing sensitive files is an afterthought, data leaks are virtually impossible, and the virtual data room administrators have  full control.
  • User friendly file management. The easy document management, allowing you to upload files at a click and store unlimited amounts of data, helps you collaborate with team members or other users, and is another reason Box is so convenient. New users can find their way around in no time and access data centers on desktop or mobile device versions.
  • Intuitive interface. If, like most Box users, you dislike losing yourself in a maze of disorganized folders or have to wrap your head around figuring out how to configure complicated tools, then you’ll find Box a welcome addition to your tech stack. Searching and analyzing files is an intuitive task that takes zero training to perform.
  • Box support. Whether your subscription offers only basic features or has more advanced features for support, you can always count on the dedicated Box support team. With standard support, you’ll get immediate assistance during business hours, while premier support gives you around-the-clock assistance, as well as additional features to help you with any issues during the deal stage.
  • Value for money. The Box pricing shows a wider lineup of subscription options, ensuring anyone from 4-person businesses to a mega corporation can find a suitable solution with sufficient storage capacity for their data processing needs.

Another popular aspect of Box is that, even though it offers its own native apps (Windows, Mac, Android, iOS, etc.), it is a web based solution. This means you easily access it from your browser on any device, with no need for downloads or mobile applications.

box customers

Box provides data management services to over 100,000 companies, so it’s no wonder it caters to a diversified and global market, with offices in North America, Europe, and Asia. The US is where Box leaves its biggest footprint — as of 2022, the Box company website claims to power 67% of the Fortune 500.

From mid size companies to small businesses with few data needs, to large enterprises requiring unlimited users, Box has a solution for every use format and need.

Box is present in every major industry. Among its customers and partners, you can find:
